Gmail – 45 Timesaving Keyboard Shortcuts

Posted on 11:10 by Unknown

Gmail shortcuts are somewhat different than browser keyboard shortcuts for two main reasons:

  1. Limits on Keystroke Choices: when using Gmail keyboard shortcuts you are working within a web browser so Gmail cannot duplicate any of the standard shortcut key combinations used by Firefox, Internet Explorer, Chrome, Safari or Opera web browsers;
  2. Functions Vary by Location: Gmail shortcut functionality is based on your location within Gmail. Some shortcuts function only when reading a message or conversation, some work only when viewing conversation lists such as Inbox or All Mail, or viewing Contacts or Tasks.
Activating Gmail’s Keyboard Shortcuts
Before these shortcuts can be used you have to make sure that the Keyboard Shortcuts Setting for Gmail is set to “on” in Gmail Settings as shown here:

To help clarify how Gmail keyboard shortcuts are used they have been grouped below by functionality, such as Navigation, Selection, Management or General.

Gmail Top Level View Navigation Shortcuts

These combinations of keystrokes speed up navigating among top level views such as Inbox, Sent Mail, All Mail, Spam, Trash, Drafts, Contacts and Tasks.  All letters in the keystroke combinations are shown in lower case but are not case sensitive. An example: “g then i” means press the “g” key then the “i” key, one right after the other.
  • g then i –  Open the Inbox.
  • g then s –  Open Starred.
  • g then t –  Open Sent Mail.
  • g then d –   Open Drafts.
  • g then a –  Open All Mail.
  • g then c –  Open Contacts.
  • g then k –  Open Tasks.

Gmail Selection and Management Shortcuts

These combinations of keystrokes are used within a specific view such as Inbox or All Mail to assist with quickly managing messages and conversations.
  • * then a –    Select all conversations.
  • * then n –    Deselect all conversations.
  • * then r –    Select only read conversations.
  • * then u –    Select only unread conversations.
  • * then s –    Select only starred conversations.
  • * then t –    Select only unstarred conversations.
  • x — Select a specific conversation; puts a check in checkbox; works as a toggle.
  • s – Stars a specific conversation; works as a toggle.
  • . – Open the More Actions dropdown list; works as a toggle.
  • e — Archive a conversation from current View into the All Mail View.
  • l – Open the Labels dropdown list to allow you to apply a label to a conversation.
  • # — Move the selected conversation to the Trash.
  • <Shift> + i — Mark selected conversations as read.
  • <Shift> + u – Mark selected conversations as unread.

Gmail Message Navigation Shortcuts

These Gmail keyboard shortcuts are used for navigating within conversations lists or views. The small black arrow at the left of the conversation list indicates the current conversation focus.
  • u – Return to conversation list (View) from current conversation.
  • k – Move to newer conversation; location indicated by black arrow on left.
  • j – Move to older conversation; location indicated by black arrow on left.
  • <Enter> or o –    Open selected conversation; black arrow indicates selection.
  • <Shift> + <Enter> or <Shift> + o — Open a conversation in a new window; black arrow indicates selection.
  • p — Read previous message within a conversation.
  • n — Read next message within a conversation.
  • r – Reply to sender when a conversation is open.
  • <Shift> + r — Open the reply in a new window.
  • a — Reply to all when a conversation is open.
  • <Shift> + a — Open the reply to all in a new window.
  • f — Forward current conversation when a conversation is open.
  • <Shift> + f — Open the forward current conversation in a new window.
  • <Ctrl> + s — Save a new or edited conversation as a draft. Cursor must be in a text field.
  • [ -- Archive the current conversation and move to the previous one.
  • ] – Archive the current conversation and move to the next one.

Gmail General Top Level Shortcuts

  • c – Open a new message.
  • <Shift> + c – Open a new message in a new window.
  • / — Move cursor to the entry box for Search Mail.
  • z – Undo previous action. Mainly used when typing and works as an “undelete”.
  • Esc – Remove the cursor from a search box or any input field.
Standard Windows shortcuts such as <Ctrl> + c, <Ctrl> + x and <Ctrl> + v are also useable within Gmail when editing text. Most browser shortcuts such as <spacebar> and Shift + <spacebar> for scrolling up or down a page are also usable.

Copying Text from the Internet

Posted on 18:11 by Unknown

The most common thing people do is to print out the entire web page, all eight pages, even though you only wanted the information on page three. A way around this is to select just the information you need, copy it and paste it into a word document. That’s what we’re going to do today.

In preparation you should open your word processing program, whatever program that might be. Also open a web browser, again whichever program is your favorite. Use the search engine to find a webpage that has interesting information for you to copy. This could be a recipe, directions, or travel recommendations. After you have identified the information you would like to copy you need to select it. Do not use the select all command, because you will select too much information and it will be unmanageable.

You should use the click – shift click method to select the text. You might remember from an earlier tip that when we want to select a range of text we click (yes, a regular left click) at the beginning of the text, scroll down to the end of the text area, hold down the Shift key and click at the end. You need to make sure the Shift key is held down before you click at the end of the text. Now that the text is selected you will copy it. Use the keyboard shortcut of Ctrl (Command)+ c. I know it doesn’t look like anything has happened but remember that copy puts information on the Clipboard, a holding place in the computer’s memory. Now switch over to your word processing program. On the windows machines use the task bar along the bottom of your screen, in the Apple environment click the program on the docking area along the bottom. Once your word processing program is up we’ll use the paste command of Ctrl (Command) + v.

Now go back to your webpage and get some more text using the same technique. Happy copying and pasting.

Excel - 10 Time-savers

Posted on 01:50 by Unknown
Here's a list of some really little things that you can use in Excel that can add up to big savings in time at the end of the day.  They are in no particular order. Enjoy.

  • Double-click in a cell to edit the contents - no need to go up to the Formula Bar to edit.
  • Double-click a sheet tab to rename it then press the Enter key.
  • Tap the F4 (function 4) key to create an absolute reference in a formula. Tapping it again will cycle through mixed references (where only one $ appears) and then back to relative reference (where no $ appear).
  • Rearrange sheets by dragging the sheet tab left or right. A small triangle moves with your mouse showing the new position of the moved sheet.

  • Change the color of a tab by right clicking (Ctrl click on Apple) and choosing your favorite color.
  • Duplicate a sheet by holding down the Ctrl key and dragging the sheet tab to the left or right. This duplicates not only the contents but all of the print, orientation, margin, header & footer settings, infinitely superior to copy and paste.
  • Use the group edit to make the same change to multiple sheet at the same time. To get into the group edit, click on one sheet, hold down the Ctrl key and click on additional sheets. To get out of the group edit click on any sheet tab that is not part of the group. This is a BIG time saver if you are adding an entry or a row/column to multiple sheets.BONUS: If you use the print command while in the group edit all of the sheets in the group will print.
  • Double-click on the vertical line between the column letters at the top of the column to adjust the column width to "best fit", no need to drag and guess how wide the column should be.
  • Press the Esc key to get rid of the marque (dancing ants) around copied cells. This also empties the computer's clipboard.
  • When you use the filter command (on the Home tab, Editing group) you will not only be able to sort and filter the columns by alpha and numeric contents but you will have color as an option for sorting and filtering.  This assumes that you have formatted cells with color.

turn on pc Auto Turn on Computer Tricks Turn on Your PC at a Particular Time You Want
There may be some instances in your daily routine where you’d like your computer; either PC or Macintosh, to be turned on while you’re away from home. For reasons known to you, you may decide to switch on your computer at a given time of the day, this trick will enable your Windows 7 PC to switch itself on at a particular time of the day. In this post are detailed step by step guides to show you how to enable auto turn on computer function without doing anything after the first time setup.

Auto Turn on Computer Methods

There are two option you can use to do this and I will be showing you the two steps below:
Auto Turn on Computer PC #1 Technique

  1. On your Windows computer, press the “DEL” button to enter setup screen (the BIOS).
  2. Then use the arrow keys to navigate to the “Power” tab in there.
  3. After that, scroll to the “Power Up Control” and hit the “Enter” key.
  4. Once done, then scroll to the option that reads “Automatic Power Up”option and choose “Everyday”.
  5. Immediately you are done with that one, then go to the next option which says “Time Alarm” and hit the enter button to choose the required time to turn on your PC.
  6. Save all the changes by pressing the ESC & YES button to reboot your PC so as to finalize your configuration.
  7. So, after that time, your computer will automatically reboot every time when you off it at the exact time that you’ve specified in the configuration.
2. Auto turn on Computer #2 Technique
This second tutorial will show you how to auto turn on computers in your household at a particular of the day you want it without much ado.
On your computer START screen, go to the “System Preferences” and you will see an option with title, “Energy Saver”, choose it and then scroll to the next option that is called “Schedule”. Once you are done with that, choose the box that says“Start UP or Wake” and select how you want it to switch.
Choose the frequency you would like your PC to be awake (weekly/weekends/everyday) and the exact time you want.
After you’ve done that one, then switch off your computer each night you want to go to bed or you are not using it anymore and it will reboot automatically at that specified time of the day.

How to disable javascript, images in Firefox 23?

Posted on 06:22 by Unknown

JavaScript and images are important part of Modern web technologies to display a web-page properly.
So, Mozilla Firefox developers made it default to enabled state and removed the option in user interface. Check out the Firefox Notes to know more about the changes in Firefox 23.

But we need to disable JavaScript in many situations.
There are two methods to disable JavaScript and images in Firefox 23.

1. Using Add-on

Install the QuickJava add-on, now you can disable Java, JavaScript, Images, CSS, Flash etc.,
Download QuickJava Mozilla add-on

2. Without using Add-ons

Type 'about:config' in address bar without quotes.
Now click 'I will be careful, I promise!' button (if prompts).
Now start typing 'javascript.en..'
Double click on javascript.enabled, now the value become 'false'.
That's all..
To disable images:-
Start typing 'permissions.'
Now double click on the permissions.default.image,
It will prompt to enter integer value, change the value 2 from 1.
To enable javascript / images again, change the above settings back to the original value.

How to Open Full Screen Compose Box in Gmail as Default

Posted on 10:41 by Unknown

One of the most annoying changes with Gmail has to be the compose mail pop-up box, which floats at the corner of your screen. Google has included a full screen toggle button on the top of the compose box. I personally like to compose mail on a full screen rather than rolling my eyes over to the left corner of my screen every time to see whether I’m typing correctly. I also found it a bit annoying to click the full-screen toggle button every time I compose a e-mail.

Fortunately, It’s very easy to make the full screen compose as a default setting
How it works:
Compose a new mail and the usual compose box would pop-up

Click on the little arrow you will find in the lower left corner of the compose box. Then choose Default to full-screen
Bingo! Now every time you compose a mail you will get a full-screen compose box. If you want the newer compose box, then simply repeat the steps again.

Tips to Protect Your Email Account from Hackers

Posted on 10:37 by Unknown

protect your email from hackers

In the world of technology, there is always the danger of a security breach. The most common of this instance is when a hacker is able to access your email account to your demise and it generally makes your vital files, documents and perhaps important project portfolios and other essential documents with respect to your work highly vulnerable to a third party. Who knows, the hacker just might be a competitor who wants to take a peek of your valuable exchange of business correspondence with your clients or to completely pirate your active clients away from you. There is a high chance however that it could be any hacker who is just waiting for their prey at any opportunity that they can find to victimize.
Because many professionals are using their emails for their officials business, an email account becomes your valuable property and perhaps an asset that allows you to keep in touch and connect with your clients. Because of this reason, protecting your email account at all costs should always be a priority. If you are one among these professionals who find it a priority in keeping your email safe and protected against hackers, here are some useful tips to keep your email correspondence and files safe.

Here’s how you can protect your email From hackers:-

1. Before you create an email account you will be prompted to provide your own password. Maintaining a strong password for your email account is your first line of defense against hackers. A strong password attribute is one in combination of letters, numbers, lower and upper cases which makes it difficult to hack.
2. Make your password more difficult by adding punctuation marks and other symbols when your email service provider allows them to form part of your password.
3. Do not be tempted to use your birthday, nickname, pet name, family name or anything closely related to you that can be easily thought of by anyone as your password. If you are unsure whether you are creating a good password, make use of free sites that offer a tool for generating strong passwords like the PC Tool by Semantics.
4. When creating accounts to different websites that use your email address for log in, be sure that you have secured for yourself a difficult password to break on each account but make sure to have your own password manager to easily remember all your different passwords.
5. Never use the same password as your email account when signing up on various online sites.
6. Be wary about cell phone spyware that could be monitoring your device each time you get access to your email using your mobile phone. They can run stealth which quietly monitors your email correspondence without you knowing it. You should constantly update your operating system, launch a malware scan periodically on your phone and always audit your program file to check for suspicious programs that are installed on your mobile device.
7. Creating an alternative email account will give you another contingency plan on how to access your hacked email account or prevent hackers from gaining access to it. In case someone else managed to hack your email, you have an opportunity to access it again through your secondary email and change the account password.
8. When providing for an answer to a security question, make sure to provide an answer that can’t be easily guessed.   Look for a more unexpected answer, more so a memorable event in your life, which can take a hacker an eternity to find out. A complicated answer to these questions as long as you can fully remember or memorize it can drive away a hacker.  Unless he has the leniency of time, he’ll definitely leave your account alone immediately to find other accounts who can be hacked easily.
9. It is not impossible to find yourself needing to access a public computer in order to access your email in case of emergency. Internet café is the most common place where you can have an easy access to a public computer. When you do so, make sure that you have the automatic log in box unchecked before you start accessing your email account.
10. Ensure that you have successfully logged out of your account before leaving the public computer otherwise you are simply giving just anyone an instant access to your email account to your misfortune.
